Human Resources Senior Officer - Simbisa Brands

REPORTING TO: Group Franchising Executive

LIAISES WITH: Head Office, Payroll, Franchise Brand Managers, Shills Trainers/Compliance officers

To initiate and implement human resources programs and reward systems designed to have a high impact in employing, retaining, developing and motivating superior, high quality individuals dedicated to superior performance towards achieving the highest brand standards.

Staff Recruitment, Selection and Development

  • Provide advice and assistance to management on staff recruitment across all markets.
  • Prepare notices and advertisements for vacant staff positions.
  • Schedule and organize interviews in all markets.
  • Participate in applicant interviews.
  • Conduct reference checks on possible candidates as well as full background checks.
  • Ensure that all new staff upon engagement are properly inducted and receive their job descriptions and that they fully understand the conditions laid therein.
  • Ensuring that staff is adequately equipped with job required resources.
  • To ensure that all short-term contract of employments are correctly renewed and also advise Line Managers about employees that have completed probationary or trial periods.

Training

  •  Identify training and development needs and opportunities in conjunction with Simbisa Training Manager

Staff Costs

  • Compile and periodically review staff costs budget.

Staff Welfare

  • Provide basic counselling to staff
  • Attending to social staff issues — funerals, weddings and sick employees.
  • Ensure complete uniform are timeously and adequately issued to staff.
  • To process all Loans of employees and ensure that the laid down procedures of the loan fund are followed.
  • Ensure updating of accident Register and advise staff Compensation by way of correspondence.
  • Make sure that laid down procedure on accident handling is always followed.
  • Ensure that disciplinary/ grievance cases are handled in terms of the code of conduct for all relevant markets.
  • Provide advice and recommendations on disciplinary actions.
  • Represent the Company in all hearings at the Ministry of Labour offices, making sure that all applications for dismissal are correctly worded and substantiated in accordance with prevailing statutory Instruments for all related markets.
  • To project at all times, managerial flair and utmost confidentiality and integrity through the avoidance of inciting others to disobey company rules and regulations, expressing offensive views, sabotage, breach of confidence or inciting dissatisfaction.

Advisory Services

  • Administer company policies and ensuring compliance with all statutory requirements.
  • Conduct exit interview.

Reports

  • Compile payroll input and ensure payroll submission deadlines are met.
  • Analyse monthly payroll reports.
  • Ensure that leave plans are in place and are religiously adhered to

Employees Records

  • Maintain updated employee records and documents

Business Process

  • Participate in and maintain records of management daily, weekly and monthly operational reviews.
  • Review attendance registers monthly and make recommendations to chronic attendance difficulties.

Security

  • Ensuring adequacy of critical areas coverage. Market specific.
  • Liaising with Finance on follow up of recoveries. Market specific.
  • Coordinating activities of the outsourced facilities of the function.
  • Ensuring the section is fully manned and forward recommendations on areas of improvement to Management.

Remuneration

  • Ensuring that fair salaries are paid to staff across.
  • Making research and advising management on salary surveys.
  • Ensuring compliance to NEC and Simbisa agreed salaries
  • Any other duties as assigned from time to time.

LIMITATIONS OF AUTHORITY

  • Cannot adjust staff salaries without Franchising Executive approval.
  • Introduce new Personnel Policies and standing instructions of personnel systems without ensuring that these are initially explained and ratified by the Franchising Executive.
  • Disclose any information acquired in the course of his duties to any unauthorized person.
  • Award himself study leave, time off without permission from the Franchising Executive.

Qualifications

The performance of the Officer will be judged on:

1 The ability to confront situations and individuals for the growth of the business.

2 The ability to apportion the level of investment behind each key person and assisting them in having the right structure and right people to maximize return on investment.

3 The ability to establish a vast network of influential contacts and identifying people with potential to take Simbisa forward.

4 The ability to be consistently aware of competitor activities and trends in the market.

5 Ability to implement clear personnel systems and procedures.

6 Ability to attract recruit, select and retain good and qualified personnel for all levels within the franchising division across Africa.

7 Ability to give correct advice to the Management and all divisional support services and the general staff.

8 The ability to maintain all records and manpower statistics in a retrievable state.

9 The ability to relate professionally with peers, subordinates and superiors.
